Salary Range: $55,000 to 65,000

Reports To: Executive Director

Job Summary: The Executive Assistant will provide comprehensive support to the Executive Director (ED), Board of Directors, and Executive Team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Job Responsibilities:

  • Provide sophisticated calendar management for the ED, prioritizing inquiries and requests while troubleshooting conflicts.
  • Act as a liaison and provide support to the Board of Directors, arranging and handling all logistics for Board meetings and events.
  • Complete a broad variety of administrative tasks, including assisting with special projects, designing and producing complex documents, reports, and presentations.
  • Collect and prepare information for meetings with staff and outside parties, compose and prepare correspondence, maintain contact lists, make travel arrangements, and complete expense and mileage reports.
  • Support the ED in strategic communications, organizational strategy, and all other special projects as assigned.
  • Manage all scheduling and travel logistics for the ED.
  • Prepare and edit correspondence, presentations, reports, and memos.
  • Serve as a liaison to the Board of Directors and maintain quality filing and communications systems, including contact management, document management, and archiving.
  • Support the ED with donor/funder relations and assist in other administrative tasks as needed.

Required Qualifications:

  • Minimum of 2 years of related work experience, preferably in the non-profit sector.
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team player, be flexible, adapt to shifting priorities, and prioritize work.
  • Excellent communication skills, both verbal and written.
  • Demonstrated writing and analytical skills.
  • Excellent organizational skills, commitment to accuracy, and attention to detail.
  • Ability to handle sensitive and confidential situations with diplomacy.
  • Proficiency in Microsoft Office applications, Little Green Light, and other web platforms.

While performing this job, this position typically spends time sitting, standing, climbing stairs, walking, driving, carrying (50lbs), and lifting (50lbs), bending, keeling, using a computer, firm/strong grasping, and repetitive hand control, makes and receives telephone calls, use of general office equipment copier, fax machine, and basic office equipment. All other duties assigned. 

Work Environment 

The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations.
